Office man­ager

Job descrip­tion:

  • Respon­si­ble for recep­tion­ist activ­i­ties includ­ing but not lim­ited to answer­ing incom­ing phone calls, greet­ing and assist­ing visitors.
  • Pre­pare and dis­trib­ute emails, let­ters, memos and agen­das on behalf of the Exec­u­tive Team.
  • Pre­pare and dis­trib­ute intra-​office com­mu­ni­ca­tion to the HQ office in Poland as needed.
  • Sign for deliv­er­ies and alert employ­ees of arrivals.
  • Keep recep­tion area and sup­ply area look­ing wel­com­ing, tidy and functional.
  • Sched­ule meet­ings and any nec­es­sary re-​arranging of con­fer­ence room schedules.
  • Coor­di­nate with build­ing per­son­nel for any notices, activ­i­ties or needs for employ­ees includ­ing ser­vice requests.
  • Com­mu­ni­cate and nego­ti­ate with ven­dors while over­see­ing all operations.
  • Flex­i­bil­ity to per­form other ad hoc respon­si­bil­i­ties as required.
  • Other duties as assigned.

Expe­ri­ence and Edu­ca­tion:

  • High school diploma or equivalent.
  • Min­i­mum 2 years of Admin­is­tra­tive Assis­tant expe­ri­ence preferred.

  • Must be able to multi-​task.
  • Excel­lent writ­ten and ver­bal com­mu­ni­ca­tions skills are a must.
  • Pos­sess ini­tia­tive and abil­ity to work inde­pen­dently with min­i­mal direction.
  • Abil­ity to work and com­mu­ni­cate effec­tively in a team environment.
  • Must be able to rec­og­nize and pro­tect con­fi­den­tial doc­u­ments and/​or information.
  • Abil­ity to prob­lem solve and negotiate.
  • Abil­ity to con­vey a pos­i­tive and pro­fes­sional image to ven­dors, appli­cants and employees.
  • Must have advanced expe­ri­ence with MS Office prod­ucts includ­ing MS Word, MS Excel and Out­look and Internet.
  • Abil­ity to com­mu­ni­cate in Pol­ish is an asset.
